Work From Home Policy
  1. POLICY

Employees may be directed or authorized to work from home or other approved remote locations in the event of a pandemic, emergency, business interruption, operational requirement, or other approved business need, in order to ensure business continuity and employee safety.

All remote work arrangements remain subject to applicable federal, provincial and territorial occupational health and safety legislation, employment standards legislation, workers’ compensation requirements, and applicable privacy laws.

XYZ Co will provide an employee with the necessary equipment and / or software at XYZ Co’s expense when the employee is directed to work from home and does not have the current technological infrastructure to do so.

  1. PURPOSE

To ensure that key functions within the XYZ Co’s business can be conducted from employees’ homes or other remote locations in compliance with applicable occupational health and safety, employment standards, privacy, and workers’ compensation legislation.

  1. SCOPE

This Statement of Policy and Procedure applies to all XYZ Co’s employees

  1. RESPONSIBILITY

Throughout XYZ Co’s organization, designated management is responsible for ensuring the consistent application and administration of this policy, including compliance with applicable occupational health and safety, employment standards, privacy, and workers’ compensation legislation.

The responsibility for facilitating the implementation of technological changes required for this policy rests with the General Manager or other designated senior leader

  1. DEFINITIONS

Remote Work / Telework: Authorized work performed from an employee’s residence or other approved location outside the employer’s premises.

Home Worksite: The designated area within an employee’s home where remote work activities are performed.

Workplace: Any location where work is performed for XYZ Co, including remote or home environments.

  1. REFERENCES and RELATED STATEMENTS of POLICY and PROCEDURE

Flexible Work Arrangements Policy (as applicable).

Emergency and Business Interruption Policy (as applicable).

Applicable occupational health and safety, employment standards, privacy, and workers’ compensation legislation.

  1. PROCEDURE
    • Human Resources will:
      • Identify the job responsibilities that can be performed by employees who work from home.
      • Identify key employees and appropriate substitutes who will perform the work.
      • Ensure that proper training is given to employees who work from home.
      • Ensure that proper training and resources are allocated to managers and supervisors to effectively manage and monitor employees remotely.
      • Ensure remote work hazard assessments and ergonomic evaluations are conducted and documented where required.
    • Information technology will:
      • Provide the hardware and software required for employees working from home.
      • Ensure employees are provided with corporate information resources and secure access with appropriate security measures in place.
      • Ensure compliance with applicable Canadian privacy legislation in protecting corporate, client and personal information.
      • Ensure IT infrastructure capacity planning to meet increased traffic demands.
      • Meet standards of security, confidentiality, interoperability, scalability, robustness, and privacy.
    • Senior management will:
      • Establish policies for the purchase or lease and maintenance of required hardware and software.
      • Ensure telework agreements are in place and signed by all parties.
      • Ensure occupational health and safety requirements applicable to remote worksites are met.
      • Ensure procedures are in place for reporting and documenting workplace injuries occurring during remote work.
      • Ensure appropriate supervision and performance management mechanisms are in place.
      • Review telecommuting arrangements annually or more frequently as required.
    • Employees will:
      • Maintain good work habits when operating in the telecommuting process.
      • Maintain a safe location in their home free from hazards and distractions.
      • Adhere to approved work schedules in compliance with employment standards legislation.
      • Report any workplace injury, illness, or hazard occurring during remote work immediately.
      • Maintain effective contact with the office, manager, or supervisor during telecommuting days.
      • Maintain confidentiality and safeguard company property and records.
      • Return company equipment and supplies when no longer required to work from home
