Home Forums Community Ontario: Pre-Screening Records Retention – please clarify. Once a worker/visitor/contractor etc. fills out the form & there are no symptoms , we are to destroy the form. The only forms that can be kept are employees who fail the screening. Correct?

Yes, that’s what I would recommend. No justification for keeping the forms for the persons who pass screening. Also, keep in mind that a person can fail screening even if they’re asymptomatic, e.g., if they’ve traveled outside the province in the past 14 days or been directly exposed to a confirmed COVID case in past 48 hours. In fact, many if not most of the COVID cases ARE asymptomatic, from what I’ve read. Hope that helps. Glenn

We keep our screening documents for 30 days , we do this in case the Ministry notifies us of a case , we can back track and know exactly which of our employees could of possibly come into contact with the visitor on a specific date..

That’s an excellent point. However, as long as you’re tracking entry and traffic in and out of your facility, why do you need to keep the negative screening results’ Couldn’t you just provide the Ministry the contacts info from your entry logs?

Health and safety is about being pro-active and keeping those records for at least 30 days is a pro-active move and is a way of proving due diligence as well. Once the forms/information remains confidential no harm in keeping them for the 30 days.

Disagree with the “no harm” characterization. What if somebody hacks your records’ And you can demonstrate due diligence and active efforts simply by keeping the records of those who fail screening. Keeping ALL of the records serves no purpose and exposes the data to unauthorized access, use and disclosure. At least that’s how I see it.
